Community Service Reporting

St. Albans VFW Post 6418 serves as the All-State and All-American benchmark for community impact in St. Albans, West Virginia.
Because the post maintains a strict standard to protect its award-winning status, reporting metrics must be precise and aligned with local requirements.

Internal Reporting Chain – Formal Statement

1. Member & Event‑Level Data Collection

Individual Post 6418 members, committee chairs, and event leads are responsible for compiling the following metrics for every qualifying VFW activity:

  • Total volunteer hours

  • Cumulative vehicle mileage (personal vehicles used for VFW‑authorized activities)

  • Financial expenditures (receipts, reimbursements, donations, or program costs)

These figures must be submitted directly to the Post Commander or Post Quartermaster. This ensures compliance with VFW National Bylaws §218, which requires the Commander to "assure that all reports are correctly prepared and promptly forwarded, and that all the business of the Post is handled with dispatch.”

2. Submission to Department (State)

Once Post 6418 leadership consolidates all member‑submitted data:

  • The Post Commander or Post Quartermaster enters the totals into the VFW National "Dashboard” reporting system at vfw.org.

  • These entries feed directly to the State Adjutant/Quartermaster, ensuring Department‑level tracking of community service, program participation, and compliance.

This step is mandatory for accurate statewide reporting and for maintaining Post eligibility for awards, recognition, and compliance verification.

 

📘 District 2 Oversight – Formal Statement

1. Post 6418’s Role Within District 2

As a member of VFW District 2 (Department of West Virginia), Post 6418 is required to provide a Commander's Report at each District meeting.

2. Preparation of the Commander's Report

After all logs (hours, mileage, expenditures, program participation) are consolidated and submitted through the National Dashboard:

  • The Post Commander prepares a formal Commander's Report summarizing:

    • Administrative compliance

    • Membership activity

    • Community service totals

    • Program participation (Buddy Poppy, funeral honors, youth programs, Riders activities, etc.)

    • Significant events or accomplishments

    • Any issues requiring District guidance or support

3. Submission to District 2 Leadership

The Commander's Report is then:

  • Submitted to the District 2 Commander,

  • Presented verbally and in writing during each District 2 Meeting, and

  • Filed as part of District records for the administrative year.

This fulfills District 2 oversight requirements and ensures Post 6418 remains in good standing with both District 2 and the Department of West Virginia Headquarters and Leadership.
